Our policy and our facilityWe do not insist that customers use our archive boxes and are pleased to accept archive boxes of any size. All archive boxes are stored in our modern, clean and secure document storage facility. When archive boxes arrive at our document storage facility, they are assessed and logged into the relevant Box Size Category (see below), according to their volume. The relevant identification information is then recorded from the archive boxes before they are transferred to our racking system. The archive box racking system in which we store our customers’ archive boxes, has been purposely designed and installed to our own specifications. It meets all racking industry guidelines for the safe storage of items held within it. We chose to have the archive box racking designed so that archive boxes are never stored no more than two high and two deep. In this way, our customers’ archive boxes are never at risk of being damaged or crushed. It also allows us to act promptly on retrieval requests as we never have to move more than 3 archive boxes to get to any 1 archive box! Every racking shelf has multiple locations, all of which are uniquely bar-coded, which links into our database. The database, in turn, supplies us with details of the archive boxes held within every individual location. There is no need to assign customers their own areas within the racking. Whilst we tend to keep our customers archive boxes together if they arrive in a bulk collection, there is no necessity for new-to-store boxes to be located next to any existing archive boxes already in storage. Our database knows exactly where customers’ archive boxes are! Box Size CategoriesOur aim is to offer competitive, clear and defined docuemnt storage rates. Though we categorise archive boxes according to their volume, we offer rates of storage for boxes, not cubic feet or cubic centimetres! Our straight forward approach of offering Box Size Categories according to the volume of archive boxes is easy to relate to. If you have 500 boxes in store, you should expect to be charged for 500 boxes, not ‘x’ amount of cubic feet!
